Effective date: October 23, 2026
Ironwood Operations Group LLC ("Ironwood," "we," "us") is based at 355 Woodlawn Avenue, Unit B, Jacksonville, Texas 75766. This policy explains what information we collect, how we use it, and the choices you have. It covers our website, ironwoodoperationsgroup.com, and our services, including Ironwood Ledger, the tool we use to connect to our clients' QuickBooks Online accounts.
1. Information we collect
Information you give us. Your name, email address, phone number, business name and anything you tell us when you fill out a form, email us, call us, or become a client.
Client business records. When you hire us for accounting, CFO, automation or marketing work, we handle the business records you give us or authorize us to access. These records can include information about your customers, vendors and employees. We use it only to provide the services.
Website usage. Basic information such as pages viewed, browser and device type, and approximate location based on IP address, collected through analytics.
We do not use website forms to collect Social Security numbers, bank account numbers or payment card numbers. Please do not send them through the website.
2. QuickBooks data and Ironwood Ledger
If you are a client and choose to connect your QuickBooks Online company:
- You authorize the connection. You sign in through Intuit's own authorization screen. We never see or store your QuickBooks password.
- Access is limited. We request only the QuickBooks Online Accounting scope. Through it we can read your chart of accounts, classes, transactions, the vendor and customer names shown on those transactions, and reports. We can change a transaction's category only after the change is approved.
- How we use it. To prepare your reports, flag items that need attention (such as possible duplicates or uncategorized transactions), and propose categorizations.
- We do not sell your QuickBooks data, use it for advertising, or share it except as described in this policy.
- You can disconnect at any time, from your Intuit account's connected-apps settings or by emailing us. When you disconnect, we delete your connection credentials immediately and delete cached QuickBooks data within 30 days. Reports we already delivered to you remain your records, and we may keep information we are legally required to keep.
3. How we use information
To provide and support our services, communicate with you, send invoices, keep our systems secure, improve our services, and meet legal obligations.
4. Use of AI
Some of our work uses AI models to help draft summaries and propose categorizations. Relevant information may be sent to our AI provider through a business account to produce that output. We do not use your data to train AI models, and we do not authorize our AI provider to do so. Numbers that appear in reports are calculated by our software from your records, and our team reviews work before it reaches you.
5. Who we share information with
We do not sell personal information. We share it only with:
- Service providers that help us run our business, such as hosting, database, secrets-management, email, analytics and AI providers (for example Vercel, Supabase, Railway, Doppler and Anthropic), and Intuit for the QuickBooks connection. They may use the information only to provide their services to us.
- Authorities or other parties when the law requires it, or to protect rights, safety or security.
- A successor if our business is sold or merged, subject to this policy.
- Anyone you direct us to, with your consent.
6. Retention
We keep information for as long as needed to provide our services and meet legal, accounting and tax obligations, then delete or de-identify it. Section 2 describes what happens to QuickBooks data when you disconnect.
7. Security
We use administrative and technical safeguards appropriate to the sensitivity of the information. These include encrypted connections, infrastructure providers that encrypt stored data, limiting access to people who need it, and requiring approval before changes are made to your records. No system is perfectly secure. If a security incident affects your information, we will notify you as the law requires.
8. Your choices
You may ask us to access, correct or delete your personal information, or to stop contacting you, by emailing us. We will respond within a reasonable time and as the law requires.
9. Cookies and analytics
We use analytics to understand how our website is used. We do not use advertising cookies on this website.
10. Children
Our website and services are for businesses and are not directed to children. We do not knowingly collect information from children under 13.
11. Changes
We may update this policy. The effective date at the top shows when it last changed. If we make a material change, we will tell active clients.
